This website is operated by Wucheng Wenjiang Sanitary Materials Co., Ltd., trading online as WJ Cotton. Our address is Wucheng County, Dezhou City, Shandong Province, China.

This policy applies to wjcotton.com, our website inquiry forms, and business communications that begin through the site. It does not replace the privacy terms of a third-party service you choose to use, such as WhatsApp.

2. Information we receive

Information you choose to provide

• Your name and company name.
• Your business email address and, if supplied, WhatsApp or phone number.
• Product, quantity, packaging, sample, quality, and other RFQ details.
• Any later correspondence, specifications, files, or samples you choose to send.

Information received automatically

• Basic server and security-log information, such as IP address, request time, requested path, browser or device information, response status, and security events.
• Your cookie-consent choice and a consent identifier stored by CookieYes.
• If you consent to Analytics cookies: page views, site interactions, referrer, page path without the query string, approximate location, and general browser or device information. We do not intentionally send form-field contents to Google Analytics.

3. Why and how we use information

We use the information described above to:

• reply to RFQs, sample requests, product questions, and OEM or private-label discussions;
• prepare quotations and discuss specifications, packaging, production, delivery, and after-sales matters;
• operate, secure, troubleshoot, and improve the website;
• measure aggregate website usage when analytics consent is given;
• prevent spam, fraud, abuse, or attacks; and
• meet legal, accounting, contractual, and dispute-resolution requirements.

Where applicable law requires a legal basis, we rely on steps taken at your request before a contract, performance of a contract, our legitimate interests in operating a secure B2B website and answering business inquiries, legal obligations, and consent for optional analytics.

We do not currently use inquiry details for promotional email campaigns. If that changes, we will use a separate, clear opt-in where required and provide an unsubscribe method.

You may contact us on WhatsApp without completing a website form. Clicking a WhatsApp link opens a third-party service. WhatsApp or Meta may receive your phone number, profile information, message, device information, and other data under its own privacy terms.

WJ Cotton does not automatically copy the name, email address, or phone number entered in our website form into the WhatsApp message. The link may include a general product or RFQ prompt; you decide what to send. Review the WhatsApp Privacy Policy before using that service.

6. Service providers and international processing

We use providers only for business operations, hosting, security, communications, consent management, and consented analytics. They may process limited information on our behalf or as independent providers:

Because we and our providers operate in different countries, information may be processed in China, Germany, the United States, and other locations where a provider operates. Privacy laws may differ. We use provider contracts and other safeguards where required.

7. How long we keep information

• Inquiries and correspondence: for as long as reasonably needed to respond and manage a potential or active business relationship. If no business relationship develops, we generally review closed or inactive inquiry records for deletion or anonymisation within 24 months after the last meaningful contact.
• Contracts, transactions, and disputes: longer where needed for the contract, tax, accounting, product-quality, warranty, compliance, or legal-claim requirements.
• Server logs: active access, error, and performance logs are scheduled for daily rotation and up to 30 rotated days, subject to temporary security investigation or backup copies.
• Google Analytics: event-level data is configured for 2 months and user-level data for 14 months, with reset on new activity disabled. Aggregated reports may remain longer.
• Browser cookies: Analytics cookies are configured for up to 6 months; the consent-choice cookie is configured for 1 year.

8. Your choices and rights

Depending on your location, you may have rights to request access, correction, deletion, restriction, objection, portability, or withdrawal of consent. These rights may be subject to legal limits and identity verification.

We use reasonable administrative and technical safeguards, including access controls, HTTPS, security monitoring, and service-provider protections. No internet transmission or storage method can be guaranteed completely secure.

This is a B2B website and is not directed to children. We do not knowingly request personal information from children. We may update this policy when our practices or legal requirements change; the effective date above will be revised.
